Privacy choices

What feature statistics and usability replays collect when you allow them, what they never collect, and how to change your choice or be asked again.

Your projects stay on your computer unless you choose to put them somewhere else. The calculations run on your own machine, in the desktop app and in the web app alike. This page explains what the app can send, and what your consent covers.

There are two optional ways to help. Both are off until you turn them on. Your work stays private either way: your projects, numbers, dimensions, loads, names, drawings and files are never collected.

Feature statistics

Which modules and features are used, solve times and errors. In detail: the app counts which modules and features you use, how long solves take and which error codes occur. Each event carries the app version, the platform, your licence type, the units and language you use, the size class of the window, and a random id for this computer or browser. When you are signed in, it also carries your account.

It never contains project data: no dimensions, loads, results, names, file names or text you type.

From the network address of the request, Axomek's servers derive your approximate location (country and city); the address itself is not stored.

Usability replays (web app only)

Blanked-out replays that show us where people get stuck. What's included? Clicks and screen changes in the web app, with the app's own words where they have no number in them, such as module names, headings and button labels. What you name and type is blanked out before anything leaves your browser, however it is spelled: every value you type into a field, the name, description and report details (customer, part and project number) of your project, the names of its shafts and parts, your file and template names, and every text with a number in it. So are every result, list and inspector, error and status messages, every drawing, chart and 3D view, and the sign-in, account, licence, settings, report, Projects, assistant and feedback screens. Replays pause while the settings, licence, report, Projects, assistant or feedback screen is open. Kept 30 days, then deleted. Like feature statistics, a replay keeps the approximate location (country and city) it starts from, derived on Axomek's servers from the network address; the address itself is not stored.

The desktop app never makes replays.

How you are asked

  • Desktop app: once, after your first sign-in, a dialog asks "Help make Axomek easier to use?". Choose No thanks or Allow feature statistics.
  • Web app: a banner with the same question offers both choices, unticked. Tick what you allow and choose Save my choice, or choose No thanks or Allow both. What's included? under Usability replays shows what a replay contains, and the banner links the full privacy policy.
  • If your browser sends Global Privacy Control or Do Not Track, you are not asked. Both choices stay off unless you turn them on yourself.

Changing your mind

Open Settings (File menu, or "Privacy choices" in the command palette, Ctrl+K). Under Privacy, switch Feature statistics and, in the web app, Usability replays on or off. The choice applies to this computer or browser, and is yours: when someone else signs in here, or you sign in after choosing while signed out, both are off again and the app asks again. Turning both off deletes the random id.

To be asked again, choose Ask me again under Privacy (or "Privacy: ask me again" in the command palette). It forgets your choice, stops both at once exactly as switching them off does (the random id is deleted), and shows the banner or the desktop dialog again right away. If your browser sends Global Privacy Control or Do Not Track, the app keeps honouring it and does not ask: Settings says so instead.

Where the data goes

Feature statistics and usability replays go only to Axomek's own servers. No third-party analytics or recording service receives them. The approximate location is looked up on those servers, in an offline database of address ranges from DB-IP (IP geolocation by DB-IP, CC BY 4.0); nothing is sent to DB-IP. They are deleted automatically after the periods above.

What is sent only when you act

These are not covered by the consent above, because nothing is sent until you choose to:

  • Feedback (account menu or command palette, "Send feedback"): your message, a category and, if you give one, an address for a reply.
  • Quick questions: now and then, at most once a week and never in your first session, a small card asks one short question, such as "Did this report have what you needed?" after a report export or "What did you expect to happen?" after an error. It never covers your work or a dialog, and each card has Don't ask again; Ask me for quick feedback under Settings › Privacy turns them all off. Only when you answer, the question, your answer (yes or no, and the line you type), the module open, the app version and platform and, after an error, its error code are sent. Nothing of your project.
  • Diagnostic reports ("Send a diagnostic report"): the app version, platform, language, window size, browser and the last errors from the engine and the console. The report shows you everything it contains before you send it. You can add a screenshot of the window, see it, and remove it again.
  • Cloud projects: a project you save to the cloud is kept with your account, so that the web app, the desktop app and axm cloud can open it. Each save keeps the one before it (the 20 most recent, each for 90 days), with when and with which app it was made, and a deleted project stays in the trash for 30 days. With each project a short summary (its name, description, modules, part designations, materials, the verdict of its checks and a few key results) and a small thumbnail are kept beside it, so that the Projects screen can search and preview your projects without downloading them; they are deleted with the project. Deleting your account deletes them all. The summaries of files on your computer (recent files, indexed folders) stay on your computer.
  • The Assistant: when you send a message, your message and the project data the assistant's tools read go to Claude, at the Anthropic API, with your Axomek account or, in the desktop app, with your own Anthropic API key. With your account they pass through the Axomek account service, which keeps nothing of the conversation: only how many requests and tokens your account used each day, for 13 months, for the daily limit. With your own key they go straight to the Anthropic API. A key you save in the desktop app is stored in your user config folder and sent only to the Anthropic API.
  • Settings: when signed in, your settings (units, theme, report header, logo, look, sign-off names and report templates, defaults) are kept with your account, so the apps and axm config share them.
  • Your templates: a project you save as a template is kept with its name, its description and the parts you chose to include. When you are signed in it is kept with your account, so the apps and axm share your templates; otherwise only on this computer or in this browser. They are kept until you delete them, with no history of earlier versions. Deleting your account deletes them.
  • Report PDFs: a calculation report saved as PDF by the desktop app or axm report --pdf carries the project file it was made from as an attachment, so whoever receives the PDF receives the project too. It stays in the file; nothing is sent anywhere. See Reports and export.

Emails from Axomek

About a week after you create an account, Axomek sends you one welcome email from support@axomek.com. It asks what you were trying to calculate and whether Axomek got you there; reply if you like. It comes once. Brevo counts opens and link clicks anonymously, for delivery statistics, without linking them to you. It is sent through Brevo (Sendinblue SAS, France), which also sends our replies to your messages.

The sign-up form tells you so next to Continue with Google and Create account: "We'll send you one email about a week after you sign up, to ask how Axomek works for you. You can opt out at any time, free of charge: in Settings or with the link in the email." The welcome email goes only to accounts created with that notice shown (the app records that it was shown, and when); accounts created before it, or with an older version of the app, get none. The desktop app and axm login create accounts on the same form, in the browser.

Don't want it? Choose Unsubscribe at the bottom of the email (the page asks you to confirm), or switch off Emails from Axomek under Settings › Account in the web or desktop app. Either way you get no such email from us. Notices about the account itself, such as changes to the terms, still reach you. A record that the email was sent is kept 30 days; your choice and the record of the notice are kept with the account, and deleting the account deletes them all.

The account and the licence

The web app works without an account: your work stays in this browser until you save it to a file, and the first visit shows a short notice about the terms, the privacy policy and the engineering disclaimer (it is remembered in the browser once you choose Got it). An account is needed for the desktop app, axm, cloud projects and the assistant. Signing in saves a licence on your computer. It is checked offline and lasts 14 days without a connection; while online it renews itself.

The full privacy policy is linked from the account menu (Privacy) and from the Settings dialog in the web app.
